Supplier Support Specialist (Finance Specialist)-1 year contract

JOB SUMMARY

Supports, coordinates and manages the invoicing, rebates and payments processes for select programs. Work with colleagues across functions and also with external clients stakeholders on all aspects around finance back office. Work with the local partners and Adecco Group back-office teams to ensure timely, accurate and efficient client invoicing & supplier settlement.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Represent Pontoon as a invoicing and payments SME within/across assigned client program(s).
  • Manage invoicing, rebates, payments within the assigned Managed Services Program including but not limited to recurring operational tasks, quarterly tracking and issue mitigation where needed.
  • Liaise with internal stakeholders across the region for invoicing and payments activities.
  • Review and suggest improvements for existing programs.
  • Maintain records of activity and requests.
  • Provides a variety of reports, as needed for management, clients and business partners. Responsible for pre and post invoicing fulfillment support through the use of Vendor Management System (VMS) technology. Ensures the use of VMS technology for cost-effective, timely, and high quality results.
  • Consults and coordinates with Manager - Requisition, Manager - Service Delivery, suppliers and others to better understand clients’ needs and to maximize level of service.
  • Responsible for monitoring the time and expense process and run through VMS. May include review and/or approval of expense and adjustment items.
  • Follow-up with Vendors to ensure timely submission and completion of timesheet & payment milestones/schedules within the designated VMS tool.
  • Guide & train Vendors on invoice creation & submission process.
  • Coordinate & follow up with the Vendors for Rebate collections.
  • Escalates outstanding process items to client contact for resolution. May escalate internally to address repeat issues. Maintains thorough and accurate documentation on any end user interactions. 
  • Communicates assignment extensions that are declined by supplier partner. Communicates any supplier partner assignment feedback to client end user. Determines root cause for declination and recommends appropriate action plan as appropriate.
  • Work collaboratively with all parties within the organization for problem resolution. Must provide a professional response and exhibit strong customer service orientation when dealing with the assigned client(s).
  • Maintains a culture of continuous improvement. Works to maintain relevant business insight to support the organization specifically related to skill discipline. Makes recommendations to improve efficiencies where applicable.

EDUCATION/EXPERIENCE & OTHER POSITION REQUIREMENTS:  


Essential Qualifications:

  • Should possess and Accounting / Financial degree.
  • Microsoft Office and Windows, MS Excel including spreadsheet design.
  • Superior MS Excel skills with experience in would be critical for this role (Advanced Excel/Macros/Formulas etc.)

 

Desirable Experience:

  • Accounting and/or pay and bill background
  • 2-3+ years of relevant work experience
  • Managing client expectations. Should have worked in a client facing/centric role.
  • Experience in a global Managed Service Provider / Recruitment Process Outsourcing / Staffing Industry, highly preferred.
  • Exposure to working on Financial technology applications viz.,any ERP systems.
